Performance data from HubSpot
Better Email can show how the emails you build perform once HubSpot has sent them: sends, deliveries, opens, clicks, unsubscribes, and how opens and clicks develop over the first week after a send. The numbers appear on the campaign's Performance tab and in the campaign list, next to the email you built.
This guide covers how to switch it on. It assumes you have already connected HubSpot to Better Email.
For what the finished result looks like and how to read it, see Campaign performance.
Your contact data stays in HubSpot
Better Email never receives, processes, or stores contact-level data. No email addresses, no contact IDs, no per-recipient activity.
Better Email reads the statistics HubSpot keeps on each marketing email. They are totals, the same numbers as the email's Performance page in HubSpot. The activity of individual contacts stays in your HubSpot account.
Nothing to set up inside HubSpot
The permission Better Email already holds for syncing templates and marketing emails also covers their statistics. There is nothing to install and you don't need to reconnect.
Enable performance data in Better Email
- Open your HubSpot integration in Better Email.
- Turn on
Sync performance data. - Save the integration.
Better Email refreshes performance data about once an hour.
How campaigns are matched
When you sync a Campaign to HubSpot, Better Email creates a draft marketing email and remembers its ID. Performance data is read from that exact email, so the match doesn't depend on names. A marketer can rename the email in HubSpot and the numbers still land on the right campaign.
Each Destination only reads the emails that were synced through it.
What you get
- Sent, delivered, opens, clicks and unsubscribes. Opens and clicks count contacts, the way HubSpot's own open and click rates do.
- Bounces, worked out as sent minus delivered.
- The engagement chart, showing opens and clicks over the first 7 days in 3-hour intervals.
What you don't get:
- Top clicked links and click-share badges on the preview. HubSpot's API doesn't report clicks per link for a single email.
- Spam complaints. Better Email doesn't read them from HubSpot yet.
Good to know
- An email shows up once HubSpot has sent it. Drafts and emails scheduled for later are skipped until they go out.
- Numbers keep refreshing after the send, so opens and clicks that arrive days later are still counted.
- An email deleted in HubSpot keeps the numbers Better Email last read for it.
- Only emails Better Email created are tracked. If someone clones the email in HubSpot and sends the clone, that send has no performance data in Better Email.
- To change a Campaign whose HubSpot email is only scheduled, cancel the send in HubSpot so the email is a draft again, then sync again. The numbers still arrive once it goes out. An email that has already been sent can't go back to draft, so any changed version you send has to be a clone, and that clone isn't tracked.
- With a very large number of synced emails, Better Email refreshes them in turns, so a single email may update less often than hourly.
Troubleshooting
No performance data at all. Check that Sync performance data is turned on and that the integration is still connected. If HubSpot revoked access, the integration says so. Click Reconnect HubSpot and the next sync picks it up.
A sent campaign shows no performance. The email that went out was probably a clone, not the one Better Email created. See Good to know.
Numbers differ slightly from HubSpot. The two systems refresh at different moments, and Better Email refreshes hourly. Give it an hour after a big send.
